Byemoor Community School Student Union Constitution
Name
The name for any official business shall be the Byemoor Students' Union.
Membership
The membership of the Byemoor Students' Union shall be the grade 7 to 9 students of Byemoor Community School.
Only the membership of the Byemoor Students' Union shall be allowed to vote on motions concerning the business of the organization.
The Grade 5 and 6 classes will be considered full members of the Byemoor Students' Union ONLY if the total membership of the Grade 7 to 9 classes is less then 15.
Meetings
There shall be a meeting of the Byemoor Students' Union held at least once a month, or as required.
Regularly scheduled meetings shall be held on the first Wednesday of each month.
Regularly scheduled meetings shall be held at noon.
There will be minutes recorded at each meeting recorded by the Byemoor Students' Union Secretary.
A meeting will only be considered official if minutes are recorded.
Two copies of these minutes will be kept at the school as a permanent record of the Byemoor Students' Unionís proceedings and business.
* At least one copy of the minutes shall be in hardcopy form.
* At least one copy of the minutes shall be kept on the Byemoor Schoolís server in electronic form.
If the Byemoor Students' Union Secretary is not present at any meeting of the Students' Union, the minutes shall be taken by the Treasurer or designate.
For a meeting of the Byemoor Students' Union to be considered official there must be a quorum of the members present. A quorum shall consist of, at a minimum:
1. The President or Vice-President; and
2. At least 2 other Byemoor Students' Union Executive members; and
3. At least half of the balance of the Byemoor Students' Union
membership.
For a meeting of the Byemoor Students' Union to be considered official there must be a Staff Advisor present from the staff of Byemoor Community School.
All motions to be voted on during Byemoor Students' Union meetings will be taken by secret ballot.
The President, or Vice President; and Secretary will assist the Staff Advisor in the counting of ballots.
Terms of Office
The terms of all executive positions within the Byemoor Studentís Union will be for one year.
Elections for each executive position will be held during the first scheduled meeting of the school year.
Elections for executive positions shall be held by secret ballot.
* The Staff Advisor and one other staff member of Byemoor Community School shall count the ballots.
* The Staff Advisor shall publish the results immediately upon concluding the counts for all executive positions.
People who may hold executive positions shall be limited to current members of the Byemoor Students' Union.
A member of the Byemoor Students' Union may only hold an executive position for one term.
Executive
The Executive of the Byemoor Students' Union shall be made up of the following
positions:
• President
• Vice President
• Treasurer
• Secretary
• Social Convenor
• Grade 7 Representative
• Sports Representative
• Parliamentarian
The following positions were to be filled by Grade 9 students (when possible):
• President
• Treasurer
Grade 7 students only shall fill the following position:
• Grade 7 Representative
Job Descriptions
President
The President calls all meetings of the Byemoor Students' Union.
The President shall conduct all meetings of the Byemoor Students' Union.
The President shall represent the students of Byemoor School to the staff of Byemoor School and community of Byemoor.
Vice President
The Vice President shall fill in for absent members of the Byemoor Students' Union when appropriate.
The Vice President shall assist the President when asked.
Treasurer
The Treasurer shall keep the books of the Byemoor Students' Union in good order.
The Treasurer shall ensure all bills are paid by the Byemoor Students' Union in the school year in which they are incurred.
All bills shall be paid through a motion of the Byemoor Students' Union.
The Treasurer shall help the Social Convenor in organizing events when there are bills to be paid by the Byemoor Students' Union.
Secretary
The Secretary shall take the official minutes of any meeting of the Byemoor Students Union and make 2 copies of said minutes.
Extra duties may be assigned.
Social Convenor
Will be responsible for making event timetables.
Will organize all student events.
Will be responsible for ordering food for all events.
Will assist in organizing student intermurals.
Sports Representative
Will represent the sports teams within the school to the staff of Byemoor School and the community of Byemoor.
Will write a monthly column for the Byemoor Den on school sports and events.
Will assist in organizing student intermurals.
Grade 7 Representative
Will assist the Social Convenor.
Will represent the Grade 7 students to the Byemoor Students' Union.
Parliamentarian
Will assist the President in ensuring meetings of the Byemoor Students' Union run according to parliamentary rules of order and proceeding.
Staff Advisor
One member of the Byemoor Schoolís staff shall be the Staff Advisor.
The Staff Advisor shall assist the President in calling meetings, setting agendas and writing Byemoor Students' Union action plans.
The Staff Advisor shall have, along with the Treasurer, signing authority for Byemoor Students' Union chequing accounts.
Amending Formula
From time to time the Constitution of the Byemoor Students' Union may require changes.
The procedure for this to happen shall be:
• Each year there will be a Constitutional Review Committee established that will not sit unless the need arises.
• The Constitutional Review Committee will be made up of the following people:
Staff Advisor
Parent Council President
President of Students' Union
• This committee will hear the proposed changes and will either recommend them to the Byemoor Students' Union for a vote, or will defeat them.
• Any recommended amendments to the Constitution of the Byemoor Students' Union will have to be accepted by a majority of the Executive, and 85% acceptance by the balance of the Students' Union membership.
Appendix
From time to time guests will be allowed to make presentations to the Byemoor Students' Union.
Guests will have no speaking or voting rights in the business of the Byemoor Students' Union.
The Parent Council of Byemoor School will have full access to the minutes of Byemoor Students' Union meetings for informational purposes only.
At the earliest convenience of the Staff Advisor and the Executive members of the Byemoor Students' Union in the September of the new school year, an action plan for events will be developed and published in the schoolís newsletter and parent and staff and student handbook.
Each year the Grade 9 class has taken a year end trip. If the Byemoor Students' Union decides to fund a portion of the trip the Students' Union MUST not have less then $1500 left in their chequing account after all bills are paid.
